Campus Guide for Summer Conferences

General Information

Building hours and general information for your stay on Phillips Exeter Academy’s campus. For conference departure information please go to the end of this page.

ATM

There is an ATM located in the Elizabeth Phillips Academy Center (EPAC) lobby toward the post office.

Bookstore

The Academy Bookstore is located at 13 Spring Street on the northeast edge of campus.  Conference attendees can present their conference name badge to receive a 10% discount on their entire purchase.

Campus Safety Office

The main number for our Campus Safety Office is 603-777-4444. If you are locked out of your dormitory, you should call Campus Safety from any outside phone. To reach the main switchboard at the Academy, dial 603-772-4311.

Please note: Blue light phones on campus are directed to the town of Exeter police and should be used for emergency purposes only.

Dining

All meals (breakfast, lunch, dinner) are held in Elm Street Dining Hall. You will enjoy a wide variety of menu items throughout the week. The dining hall team prepares healthy food for all appetites, and every meal includes vegetarian, vegan, low-fat, plant-based and gluten-free options. All food is clearly marked for allergies. If you follow a Celiac diet, please let us know so we can assist you.

Eating off campus? Conference participants are welcome to explore and dine at one of the many restaurants in the area.

Dorm Access

Phillips Exeter Academy dormitories are locked at all times. At check-in, you will be issued a swipe badge to access your assigned dorm and a key for your individual room. Please keep these items with you at all times. Your swipe badge will open the main door to the dorm building, your key will open only your room. Swipe cards will also be used to access academic buildings and Elm Street Dining Hall during hours of operation. Please retain the original labeled key envelope to return your dorm key in at the end of the conference

Lost key or swipe badge?  Head to the conference office in Elizabeth Phillips Academy Center (EPAC).

Locked out of your room?  Head to EPAC and we'll assist you. If you are locked out of your dormitory, you should call Campus Safety at 603-777-4444.  

Dress Comfortably

Casual clothing and comfortable footwear are the best choice for the relaxed campus setting.  You may want to bring a light sweater or sweatshirt for air-conditioned buildings and cool evenings. Also, bring an umbrella or rain jacket in case we have any rainy days.

Drinking Water on Campus

Please bring a reusable water bottle as the Academy does not sell or provide bottled water. There are filtered water filling stations located around campus, but you must provide your own bottle. You may also want to bring a travel mug for coffee.

Exeter and Surrounding Area 

Exeter and surrounding seacoast New Hampshire towns offer a rich assortment of restaurants, shops, parks and beaches. Visit the NH State Parks website for hiking trails and beaches. The Town of Exeter website maintains a list of destinations and activities of interest, including the farmers' market in Swasey Parkway every Thursday from 2:30 – 6 p.m.

Fans for Dorm Rooms

All participants staying in the dormitories may borrow a box fan, free of charge. No reservation is required. You may pick up a fan at conference check-in or during the week if supplies last. Please note that fans are provided on a first-come, first-served basis. 

Fitness Facilities

All conference attendees are welcome to use the Academy’s fitness facilities. In addition to a fitness center, pool, and a gym with basketball and squash courts, outdoor options include tennis courts and a network of walking/running trails. All trail heads are clearly marked.

If you bring a bicycle, please also bring a lock and use the bike racks found across campus. Phillips Exeter Academy is not responsible for lost or stolen bikes.

Laundry

Each dorm is equipped with washing machines and dryers. Stop by the information table in EPAC for assistance or laundry detergent.

Library

Phillips Exeter Academy’s library hours during the conference are:

Lost and Found

There is a lost and found box located at the information table in the Elizabeth Phillips Academy Center (EPAC). If you find something, please turn the item in to the lost and found.

Mailroom

The Academy mailroom will be open Monday – Friday, 8 a.m. – 3:50 p.m. The mailroom is located in the Elizabeth Phillips Academy Center (EPAC) behind the registration table. The mailroom can receive standard mail and will send packages up to 20 lbs.

If you have mail sent to you at Exeter, it must be clearly addressed for the mailroom to accept it. Please have incoming mail addressed to:

Map of Campus

Printed campus maps will be in your registration packet and at the registration table in EPAC. There is also an interactive map on our website.

Medication and Food Storage

If you travel with medication or your own food that needs refrigeration, there are refrigerators in each dorm where you can store items for the week. Please make sure your items are clearly marked with your name and conference.

Name Badges

Name badges must be worn at all times while on campus, including during meals and evening social time. Each conference has a different color lanyard for easy identification of your peers.

Misplaced or lost your name badge? Stop by the conference office in EPAC.

Parking

Please do not park in any spaces that are reserved for faculty residences or employees. Park temporarily on Tan Lane while you register, and we will be happy to direct you to parking. You will be asked to place a "Conference Attendee" sign on your dashboard.

Parking options for the week:

  • Water Street parking lot at the corner of Main Street and Water Street
  • Thompson Field House parking garage at 4 Chadwick Lane
  • Exeter side streets – there is limited street parking in Exeter. Be sure to avoid parking in a two-hour zone.

Smoking Policy

We are a smoke-free campus. Please do not smoke on Phillips Exeter Academy property, including in and around all buildings and dorms.

Technology

Technology: Internet Access

To connect to our WiFi network select PEA-Guest WIFI SSID.  A browser will open and you will be redirected to the Network Registration page. Follow the prompts. Specifically:

  1. Click Agree to accept the Acceptable Use Policy.
  2. On the Welcome Guest page, complete the form and click Request Access. This will generate either an email or text message, depending on which you choose, with a passcode. Note: If you chose email, you need to be able to access your email from a device not connected to PEA WiFi.
  3. Enter the passcode to complete the guest registration.
  4. Click Submit and wait 45 seconds for your device to be registered.
  5. A success page will appear with a bar counting down to complete your registration. Do not move away from the page until counting down completely finishes.

If you have more than one device to register, you will use your email address and the same passcode to register additional devices. Do not request a second passcode.  Click on Guest Login above the Guest Registration form.

Technology: Support

If you need help with accessing, sharing or printing digital files, your conference staff or leader is your first point of contact. If they are unable to assist you, there is a tech office located in Phelps Science Center, Room 124, 603-777-3788. If the office is empty, please leave a note or voicemail with your name, phone number, and your location.  A technology coordinator will respond as soon as possible.

File storage will be on Dropbox or at the discretion of your conference leader. Your conference leader will provide file locations. For assistance accessing or utilizing Dropbox please see a technology coordinator.

 
 

Conference Departure

 

Evaluation Forms

Toward the end of the week, you will be directed to fill out a conference evaluation. We value your feedback on all aspects of the conference; please take the time to let us know about your experience.

Clock Hour Letter/Certificate of Completion

Your check-out folder will be available at the end of the week. Math conference attendees can pick up folders at the information table in the Elizabeth Phillips Academy Center (EPAC). All other conference attendees will receive folders from their conference leader(s) by Thursday afternoon. The folder contains a clock-hour letter to submit to your school for professional development credit as well as your certificate of completion.

Dorm Check-Out Procedures, Friday

Please be packed out out of your dorm by 9:00 am on Friday morning. Unfortunately, we cannot accommodate any late check-outs. Our custodial staff will be busy preparing dorms for our next guests. Please check dresser drawers, closet and desk for personal belongings. Check the outlet for chargers.

Bring linens to the common room: Please bring your sheets, towels and blankets to the common room in your dorm and make three piles (sheets in one pile, towels in one pile, blankets in one pile).

Please leave your dorm rooms unlocked and doors open: This will help our facilities team know which rooms need additional cleaning.

Please leave hangers and tissue boxes in your room.

Please take all trash and recycling out of your rooms and place in hallway containers.

Bring the following items to Elizabeth Phillips Academy Center (EPAC) between 7 – 9 a.m.

  • Borrowed fans - drop off at our fan return station
  • Dorm key and swipe badge - hand to our student workers
  • Luggage - our student workers will help you store your tagged luggage until 1 p.m. You are responsible for getting your luggage to buses, shuttles or your car. Luggage is not attended after 1 p.m.
